How a repair shop uses SGR
SGR is the daily system for a computer or phone repair shop, including shops that run more than one location. This page is the map of the work: the ticket, the quote, the customer link, the workshop receipt, the catalogues, and the dashboard.
The admin menu
Each item in the left sidebar has its own article. The groups follow that menu, with Home and Dashboard at the top, where they sit before the named groups.
Tickets
A repair ticket is the job. It keeps a number for that shop, the customer, the equipment, the fault, the brand and model, a serial number when you have one, accessories left at the counter, parts used, appointments, and a history of status changes.
A new shop starts with this path: ticket opened, in diagnosis, quote sent, approved by the customer, in repair, repaired, closed. You can rename the labels in the shop catalogue. The app still recognizes those steps, so a quote can be sent and a repaired device can be marked ready for pickup.
Technician notes stay in the shop. Notes written for the customer are the ones that appear on the customer link. The home screen lists tickets that are still open. From a ticket you can print a PDF. Lists of tickets can be exported to Excel or CSV.
Quotes
The quote is an amount recorded on a status line. Choosing the status “quote sent” requires that amount. The latest amount is the quote the customer sees.
The ticket can download a quote PDF. Approval does not happen inside the shop screen. The customer approves it on the signed link, and the ticket then moves to “approved by the customer” with the same amount.
The customer link
The customer portal is signed-link only. There is no customer account and no public list of tickets. On the ticket, Portal link copies a temporary address. It lasts 7 days unless that period is changed for the installation, and it opens only that ticket. When it expires, copy a new link.
The page shows the shop, the ticket number, the current status, the equipment, accessories left with the device, parts on the job, and the quote. The history shows status changes and the notes written for the customer. Technician notes are not on that page.
The approve button is shown only while the status is quote sent. The customer confirms. People in that shop get a notice in the app. If email delivery is switched on, the shop notification address can receive the same news.
When the status is repaired, the page says the equipment is ready for pickup. When the ticket is closed, the page says so. If the customer has a phone number, the ticket can open WhatsApp with a short message. Email to the customer is sent only when email delivery is switched on.
Workshop receipts
A workshop receipt is an internal document for the job. It is not a certified tax invoice, and SGR does not file it with a tax authority.
From the ticket, the shop creates a receipt as a draft. The draft can include the latest quote as labour and the parts used on the ticket. The shop can issue the receipt, record payments against it, mark it paid, or cancel it when no payment remains. A ticket keeps one receipt that is not cancelled. Cancel that receipt before creating another.
Numbers use the shop prefix. A new shop starts with REC. The PDF is titled as a workshop receipt and states that the document does not replace a certified tax invoice. The shop dashboard counts draft receipts for the current month.
Catalogues
Each shop has its own catalogues, copied in when the shop is created: equipment, faults, accessories, and status names. The equipment list starts with laptop, desktop, phone, tablet, printer, monitor, and game console. Faults start with the usual counter cases, including a device that will not power on, a cracked screen, a battery that will not charge, software trouble, a virus, a failed drive, overheating, and liquid damage. Accessories cover what customers often leave behind, such as a charger, a cable, or a bag.
Parts are the shop’s stock list: SKU, name, cost, sell price, and quantity. Using a part on a ticket records a stock movement. Renaming a catalogue in one shop does not change another shop.
Dashboard
The shop dashboard is a set of counts for the shop you are signed into. It shows open tickets, tickets closed today, tickets opened today, quotes waiting for approval, jobs approved but not yet in repair, devices ready for pickup, tickets open longer than seven days, appointments today, parts low on stock, and draft workshop receipts this month.
Under the counts, the oldest open tickets and the low-stock parts are listed. The home screen is the workbench: start a ticket, and see what is still pending. Reports cover pending tickets, a closures summary, ticket counts, and a repair listing. Those numbers stay inside the signed-in shop.
